You have passed the PPL theory exam, collected the paperwork and spotted a list of codes or syllabus references under the words “Knowledge Deficiency Report”. That can take the shine off a good result. In practice, a KDR is a normal part of the CASA licensing process whenever an exam result is below 100%.
KDR stands for Knowledge Deficiency Report. It records the competency standards connected with questions you answered incorrectly. For the PPLA exam, the pass mark is 70%, so a perfectly respectable pass can still produce several KDR items.
Those items need attention before your flight test because the examiner must be satisfied that you understand the listed areas well enough to exercise PPL privileges safely. The process is manageable when you treat each line as a focused revision task.

What a CASA Knowledge Deficiency Report actually tells you
Your Result Advice confirms the exam outcome. The KDR sits alongside it and points to the areas where your knowledge needs more work. It normally uses syllabus or competency references instead of reproducing the question you saw in the exam.
That distinction matters. A broad reference such as flight planning, airspace or aircraft performance may cover several connected ideas. Trying to remember one multiple-choice question is a fragile way to prepare. Rebuilding the underlying topic gives you the knowledge needed for a different scenario or follow-up question.
The number of syllabus items on the KDR can differ from the number of marks you lost. CASA explains that some questions carry different marks, so avoid reverse-engineering your score from the length of the report.
If your result was 100%, your KDR may contain no syllabus items. A result of 50% or lower is also handled differently because CASA refers the candidate to the whole syllabus. This guide focuses on the usual situation where you have passed the PPL exam and received a short list of specific deficiencies.

Who assesses the KDR before the flight test?
Your flying school should review the report with you. CASA strongly recommends completing the KDR assessment with an instructor before the flight test. This gives you time to find gaps, practise explaining the material and correct any uncertain answers without the pressure of test day.
Your flight examiner still has an important responsibility. The examiner must be satisfied that you have sufficient knowledge in every competency standard listed on the KDR. They may rely on completed training-provider assessment as part of that process, and they can ask further questions where needed.
If the KDR has not been completed beforehand, the examiner must deal with it before the flying component. CASA guidance says an examiner-led KDR assessment should take place on the first day of the flight test. Arriving with unfinished paperwork can lengthen the ground component and add avoidable pressure.
Speak with your instructor early and ask three practical questions:
Who will conduct the pre-test KDR assessment?
How will the school record or certify that each item has been covered?
What original paperwork must you bring to the examiner?

A five-step method for clearing every KDR item
Use the same sequence for every line on the report. It keeps your preparation organised and makes it easier for your instructor to see where further work is needed.
1. Translate the reference into a clear topic
Start by writing each KDR reference on a separate line. Use the current syllabus, your course material and your instructor's guidance to turn the code into plain language. “Air law” is too broad. “VMC requirements for the planned airspace and altitude” is specific enough to study and demonstrate.
Do not assume the reference reveals the original exam question. Your target is the full knowledge area represented by that reference.
2. Rebuild the rule or concept from first principles
For each item, write a short explanation in your own words. Include the rule, the reason it matters and any conditions or limitations. If a calculation is involved, complete a fresh example and label every unit.
Aim for understanding that survives a change in numbers, weather, aircraft or route. An examiner may use a practical situation to see whether you can apply the knowledge, so memorising a single sentence will often leave you exposed to the first follow-up question.
3. Apply it to a flight-test scenario
Connect the topic to a decision a private pilot might make. For example:
If the item concerns fuel, calculate the requirement for a realistic route and explain the reserves and contingencies you used.
If it concerns airspace, identify the relevant class on a chart and explain the clearance, communication and equipment implications.
If it concerns weather, interpret the information and state how it changes your go, delay, divert or cancel decision.
If it concerns performance, show how aircraft mass, temperature, pressure altitude, runway surface or wind changes the available margin.
This turns a theory correction into operational knowledge, which is the standard the examiner needs to see.
4. Explain the answer aloud
Close your notes and teach the topic to an imaginary passenger or another student. Use a simple structure: state the principle, apply it to the scenario, then give the safe decision.
Speaking exposes vague areas that can hide during silent reading. If you reach for phrases such as “I think” or “it is probably”, mark the point and verify it. Technical terms are useful when they add precision, but a confident answer should still be understandable.
5. Ask your instructor to challenge the edges
A good KDR review includes follow-up questions. Ask your instructor to change one condition at a time: the wind, aircraft mass, airspace, runway, cloud base or available fuel. Then explain whether the answer changes and why.
Record the date you covered each item and any action still outstanding. When every line has been explained, applied and checked, arrange the school's formal KDR assessment or sign-off.
Use CASA-style practice exams to test whether each weak area holds up under fresh wording and scenarios.
What the examiner may ask on flight-test day
The KDR assessment is an oral knowledge assessment linked to the topics on your report. It is not a replay of the PEXO exam, and the exact wording is up to the examiner. Expect questions that test whether you can use the knowledge safely in the context of the planned flight.
An examiner may begin with a direct question, then add a practical condition or ask you to justify a decision. A strong answer usually does four things:
identifies the relevant rule or principle;
uses the correct information, chart, publication or calculation;
applies it to the aircraft and flight being discussed;
reaches a safe, clearly explained decision.
Listen to the whole question before answering. If a term or scenario is unclear, ask for clarification. CASA's flight-test guidance expects the assessment process to be explained and allows applicants to seek clarification when uncertain about a test element.
Avoid filling silence with guesses. Take a moment, organise the answer and use the approved source material available for that part of the assessment. If you realise an early statement was wrong, correct it clearly and continue.
Common KDR preparation mistakes
Most problems come from preparing too narrowly or leaving the process too late. Watch for these patterns as you work through the report.
Studying only the remembered exam question
The KDR identifies a competency area. Cover the surrounding knowledge and its practical use so that a new scenario does not catch you out.
Leaving the review until the final week
KDR items often reveal a chain of connected misunderstandings. Early review leaves time for instruction, practice and a second check.
Collecting answers without explaining decisions
Knowing a number or rule is only the first step. Practise when it applies, where it comes from and what decision follows.
Treating instructor sign-off as the finish line
The examiner must be satisfied with your knowledge. Continue revising completed items and be ready to discuss them during the ground component.
Misplacing the original paperwork
Keep the Result Advice and KDR together in your flight-test document folder. Check the paperwork with your school well before the booking.
If your KDR is missing or you dispute an exam item
If you lose the report, contact CASA or the organisation that conducted the exam and ask about a replacement. CASA also provides Form 059 for flight crew qualification report requests. Replacement processing can take time, so start the request as soon as you discover the document is missing.
If you believe an exam question or result should be reviewed, CASA has an exam reassessment process. KDR comments can help identify the question. A reassessment request is separate from normal KDR preparation, and CASA advises candidates to give specific, constructive reasons. Follow the current CASA instructions and wait for the outcome before making decisions that depend on a changed result.

Before the flight test, confirm that you have:
the original Result Advice and KDR;
a plain-English topic for every KDR reference;
an accurate explanation and practical example for each item;
completed the training-provider assessment or sign-off required by your school;
